CitySport Photography/Videography Policy


1. PURPOSE
The purpose of this policy is to protect the privacy, dignity, and safety of all users of CitySport facilities—managed by City St George’s, University of London—while allowing appropriate photography and filming for personal, promotional, and professional purposes.


2. EQUALITY AND DIVERSITY STATEMENT

City St George’s, University of London is committed to promoting equality, diversity and inclusion in all its activities, processes, and culture, under its Public Sector Equality Duties and the Equality Act 2010. This includes promoting equality and diversity for all, irrespective of any protected characteristic, working pattern, family circumstance, socio-economic background, political belief, or other irrelevant distinction. These commitments are carried out consistently with the University’s legal duties to secure and promote freedom of speech and academic freedom within the law. Fair treatment does not require agreement with any particular viewpoint, and the lawful expression of ideas—including those that may be contentious or uncomfortable—will not, in itself, be a basis for disciplinary action or other less favourable treatment.
Where relevant to the policy, decision-making panels will ensure a reasonable gender balance (with at least one man and one woman) and will actively consider representation of other protected groups.


3. FREEDOM OF SPEECH
City St George’s, University of London, regards freedom of speech and academic freedom to be fundamental to delivering its mission as the University of business, practice and the professions. Its values in this respect are set out in a code of practice on freedom of speech and academic freedom, which explains how the University will uphold, secure, and promote freedom of speech within the law. Nothing in this policy should be interpreted in any way that would be inconsistent with the code of practice and – in the event of any inconsistency – the provisions of the code will prevail.

4. SCOPE
This policy applies to:

  • All members, guests, staff, and contractors using CitySport facilities.
  • All forms of photography, video recording, or live streaming, whether on personal devices,
    professional cameras, or other recording equipment.

5. GENERAL RULES
5.1 No photography or filming is permitted in changing rooms, toilets, or single-sex areas under any circumstances.
5.2 Users may take personal photos or videos in public areas of the facility, as long as no other user is captured in the frame.
5.3 All other photography/filming, including capturing other users, staff, or organised activities, is strictly prohibited unless prior written permission has been obtained from CitySport and all identifiable individuals have given their explicit consent.
5.4 Photography or filming must not infringe on the privacy or safety of others. Staff may request proof of consent and have the right to stop, view and/or require the deletion of unauthorised recordings.
5.5 Tripods, drones, and professional equipment are not permitted without written approval.


6. PERMISSION PROCESS
Anyone wishing to take non-personal photos or film within CitySport must:

  • Submit a request to CitySport to sportbookings@citystgeorges.ac.uk, via subject heading “Photography Request”.
  • State the purpose, date/time, locations, and equipment to be used.
  • Photography/filming may only occur once approval has been provided by the relevant Manager.
  • Display approved filming notices (where applicable) during shoots.


7. CITYSPORT PHOTOGRAPHY
CitySport may take photographs and videos for:

  • Promotional materials, website, and social media.
  • Internal training or marketing purposes.
  • Where CitySport/CSG staff are capturing photography or filming content for marketing, promotional, or operational purposes, clear signage will be displayed within the facility. By entering the area, users acknowledge and consent to the possibility of being captured in such content.
  • All copyright is assigned to City St George’s, University of London for any content produced by the University and individuals may be filmed or photographed without compensation.
    Where individuals are clearly identifiable, consent will be obtained in writing before use.


8. SAFEGUARDING AND DATA PROTECTION
CitySport follows all safeguarding procedures and data protection regulations, including:

  • Not photographing or filming children without parental or guardian consent.
  • Storing and using images securely and only for their intended purpose.
  • Ensuring no images compromise an individual’s dignity or safety.


9. ENFORCEMENT
Failure to comply with this policy may result in:

  • Deletion of unauthorised images.
  • Removal from the premises.
  • Suspension or termination of membership.
  • Notification to relevant authorities. (if appropriate)
